Does your digital workplace work well or so-so sometimes, a bit patchy?

You want something that just works? That's pretty standard? Simple and clear?

All businesses are unique – but the platform is standard.

You've already purchased Microsoft 365. Full of Teams, SharePoint, Files, People, and Excel—the same foundation as everyone else. It's a standard service, and that's the point.

You don't need to package it, customize everything, or get stuck in dependencies that new flashy consultants like to sell. The strength lies in using what already works – and building smartly on top of it.

Just like with a modular house: everyone can live in the same basic model, but each business sets its own mark based on unique needs, not standard needs.

How hard would it be to find something that works?

But why doesn't it work then?

Because it has all gone too fast. We have all been a little it to hurried. We don't know enough. And we haven't perhaps assigned responsibilities properly.

If we think about the modular house – we bought the furniture before the house was waterproof.

Common mistakes we see – over and over again

When everyone points to IT

IT owns the platform – not HR’s onboarding content or the CFO’s access decisions. When the rules of the game are set jointly, IT doesn’t become a dumping ground for everything that doesn’t have an owner.

Establish structure and order around the documents

“I can't find anything.” From scattered files to clear spaces with ownership, labels and security that can actually be followed.

Disengaged management team and no budget? Just shut down.

Harsh words – but often true. Without direction, mandate and pace, everything becomes a fire brigade response. Here's what it takes for management to do its part.

When responsibility is handed over – but the mandate never came with it

Implementation can be a project. Sustainability lies in what happens afterwards – and when the administration lacks both a mandate and a holistic view - it will never fly.

When internal communication lacks both strategy and mandate

Email, Teams, intranets and meetings become backups for each other when no one is in control. The result is noise, guesswork and lost decisions.

Everyone talks about competence – no one owns it

HR owns the structure and platform. Subject matter experts own the content. When roles are clear, training becomes everyday life – not a campaign.

Ok, good news - we haven't made ALL the mistakes....

Security that everyone wants to do right – but no one can explain

“It depends” becomes “yes, if …” when lawyers and information owners are in the room and decisions are written so people understand.

Reduce costs without taking anything away

License zoo, duplicate tools and emotional buying. Consolidate your portfolio without making everyone angry along the way.

It's not the tools that are the problem.

It's how everything connects. From the business's vision to the employee's computer settings.

It's actually quite boringly simple, just like building a house – if we don't know whether we want a townhouse or a penthouse, it's not easy to build it correctly.

Management

We need to have the right vision, the right budget, the right skills, we need to have a common goal and structure. Policies, guidelines, budget, role descriptions, KPIs that are related to the business. Management needs to understand what is required to have a functioning digital workplace and give the assignment to the right people.

Managers

Managers who manage their work group must have common values so that we have a cross-functional culture and way of working. They need information architecture and take responsibility for information ownership. They need to know about the risks and how to follow up on work.

Employees

Among other things, all employees need to have a common high level of basic competence where everyone uses basic technology correctly. They need support, help and clarity in how they should work.
