What is the model for?

Succeeding in digital transformation is not just about implementing technology, but also about creating structures, processes, involving more departments than IT, and creating a way of working that supports the needs of the business.

A mature digital workplace:

Is secure and compliant. Is efficient and transparent. Facilitates collaboration and communication. Supports innovation and change. Has a sustainable management model that supports the business.

Without a clear method, there is a risk that the technology is not fully utilized, that the operation becomes inefficient due to unclear processes and goals, or that the organization falls behind.

Levels

With the level division you can define how digitally mature your business is. Different parts of your business may well be in different places, that's normal. For example, Marketing may be better at new tools and Finance is better at document management. It's more the rule than the exception.

Initial

Tools are used sporadically without clear processes or goals. The environment is ad hoc, reactive, uncontrolled, chaotic, unstable, not designed.

Managed

Tools and processes are used consistently, but there are still gaps in optimization. We work routinely, have a lot of legacy, firefighting, varying, person-dependent.

Defined

The business has clear guidelines and structures for the use of Microsoft 365. We have a digital workplace that is documented, policy-driven, planned, controlled, and stable.

Processes are analyzed and optimized using data and reports. The environment is productive, interactive, responsive, improved, efficient, adaptable, high quality.

Competencies

There are many different competencies within the model that have different focuses:

Business process expertise

This area covers how organizations manage and automate repetitive tasks. It emphasizes structuring these tasks with business rules and technology to increase efficiency and standardization. The area of expertise includes analysis of unstructured and structured data, workflows, user security, reporting, tracking, process modeling, and optimization.

Cognitive business process (AI)

This area focuses on the application of artificial intelligence and machine learning to improve and automate business processes.

Collaboration skills

How the organization enables and supports collaboration between employees, teams and departments through digital tools and working methods.

Communication skills

The organization's ability to share information, news, and updates effectively throughout the business.

Adaptation and development skills

The ability to adapt and develop digital solutions to the specific needs of the business.

Employee experience

Focuses on how well the digital tools support employees' daily work and well-being.

Governance and compliance expertise

Ensures that the organization follows rules, policies and best practices in its digital environment.

Infrastructure expertise

The technical foundation that enables a stable and secure digital workplace.

The process

Decide on internal roadmap

Sounds obvious, but the decision should be made by those who have the mandate to make them and also to follow up on it.

Put the right person in the right place

We need to collaborate throughout the entire operation and no one can stand aside or refuse to cooperate. Most people need to improve their skills to be able to take on their responsibilities. 

Introducing continuous education

Everyone needs to be trained continuously. Change is happening too fast not to have this in place. Role-based training, where management needs things other than managers and employees. 

Evaluate, adjust, improve

With the model, you can continuously follow up on your efforts and see if you are on the right track and adjust if your business' priorities have changed.
