Everyone wants ”control over document management” – but it never starts there

”We need to get the documents in order.” ”Teams are chaos.” ”We have 900 Teams – and 127 employees.”
Does it sound familiar? Microsoft 365 already exists – but is used in 248 different ways. The problem is rarely the files.
It is the lack of common rules of the game, storage strategy and leadership.

Document chaos is a symptom

When documents are scattered all over the place – in Teams, OneDrive, SharePoint, email and private folders – it points to
major shortcomings:

  • Game rules for how we collaborate (house rules for teams and individuals).
  • Storage strategy which describes where what should live and why.
  • Information classification so we know what is open, internal or sensitive.
  • Leadership and culture which means that the rules are actually used.

No well-ordered digital workplace grows organically. It needs to be managed.

The governance group must lead

”Resolving the documents” is not a side project. It is the governance group’s mission. IT, HR, communication,
Legal and management take joint responsibility for:

  • Vision & goals: where we are going with working methods and collaboration.
  • Policies & Standards: storage, Teams structure, sharing, and security.
  • Training & support: for managers, team owners and employees.
  • Management: continuously monitor, clean and adjust.

First wave: start with leaders

We're starting with a small group of managers/supervisors who are trying out the new ways of working in Microsoft 365.
Then we immediately see what is actually needed – and create role models that draw the rest of the organization.
This isn't a technology rollout. It's a culture change.

From symptom to solution – in five steps

  1. Current status: survey + interviews to map digital maturity.
  2. Clean & structure: Teams, documents, sharing and permissions.
  3. Game rules: storage strategy, information classification and house rules for teams & individuals.
  4. Educate & coach: managers, team owners and employees.
  5. Follow up: The governance group manages and continuously improves.

”But what if we already have a retention policy?”

Awesome. Then the work is often about updating the structure, getting things in order
permissions and make sure that everyone actually works according to the policy. Here we help the governance group
with practical templates, training and management.
